1. Safeguarding and welfare
Podium Mentality is committed to creating safe, respectful and supportive performance environments. Safeguarding and welfare responsibilities are taken seriously, particularly where work involves children, young people or vulnerable adults.
Where a concern is raised, observed or disclosed, Podium Mentality will respond proportionately, record relevant information and, where appropriate, share concerns with parents or guardians, team safeguarding leads, relevant organisations or statutory services.
Safeguarding concerns will never be ignored or treated as purely performance issues.
2. Working with under-18s
When working with under-18 drivers, Podium Mentality expects appropriate parental, guardian, team or organisational awareness and consent depending on the nature of the work.
Support will be delivered in a professional, transparent and boundaried way. Communication with young drivers should be appropriate to age, context and safeguarding expectations.
Where possible, arrangements will be agreed in advance with parents, guardians, managers or relevant team representatives.
3. Professional boundaries
Podium Mentality provides human performance, driver care, welfare and development support. It does not replace technical driver coaching, medical care, regulated therapy, legal advice or emergency support.
If a need falls outside Podium Mentality’s role, this will be communicated clearly and, where appropriate, signposting or referral to suitable support will be recommended.
The aim is to provide calm, professional support that strengthens the person and environment behind performance, without creating dependency or unnecessary noise.
4. Confidentiality
Information shared with Podium Mentality is handled discreetly. Confidentiality helps build trust, but it is not absolute.
Information may need to be shared where there is a safeguarding or welfare concern, where someone may be at risk of harm, where required by law, or where sharing is necessary to deliver agreed support responsibly.
Where appropriate, the reason for sharing information will be explained clearly.
5. Data handling
Podium Mentality collects and uses personal information only where needed to respond to enquiries, deliver agreed support, maintain professional records, meet safeguarding responsibilities or fulfil legal and accounting requirements.
Information is not sold. Records are kept securely and only for as long as they are needed.

6. Terms of engagement
Before work begins, the scope of support, intended outcomes, fees, timings, communication expectations and relevant boundaries should be agreed clearly.
Where work involves a driver, family, team, academy or management group, the key points of contact and decision-makers should be agreed at the start.
Podium Mentality aims to work collaboratively, professionally and discreetly, with clarity around what support is being provided and what sits outside the scope of the work.
7. Complaints or concerns
If you have a concern about Podium Mentality’s work, communication or conduct, please raise it directly so it can be reviewed and responded to appropriately.

Safeguarding or welfare concerns should be raised immediately with the appropriate safeguarding lead, organisation or statutory service where required.
